Terms of Use

The Service is provided by Red Hot GRA & Mayo (Pty) Ltd, registration number 2020/010797/07, trading as Firmhub (we, us). By using the Service or accepting a subscription you agree to these terms. If you accept on behalf of a practice or company, you confirm that you have authority to bind it. If you do not agree, do not use the Service.

Firmhub is practice management software for accounting firms. It helps you track jobs, deadlines, capacity, client structures, pipeline, documents and reporting. Firmhub is not accounting, tax, audit or legal software or advice. If you add the Integrations add-on, you remain responsible for what is submitted to Xero, QuickBooks, Sage, SARS, CIPC or any other system. You remain responsible for meeting every statutory and client deadline. Firmhub is a tool that helps you track them.

You must give accurate information when you sign up and keep it up to date. You are responsible for all activity under your practice's user accounts. Keep credentials confidential, allow only your own personnel to use the Service, and tell us immediately if you suspect unauthorised access. Users are unlimited, but they are for your practice's personnel only.

Firmhub is a monthly subscription charged per firm, per month, according to the plan you choose (Base, Pro or Max) and any add-ons (Firmhub AI and Integrations). Our prices are published on our pricing page. Users and clients are unlimited, and onboarding, including setup and staff training, is free. A 30-day free trial of the Max plan is available with no credit card required. If you do not subscribe when the trial ends, your access stops. Fees monthly in advance and exclude 15% VAT, which is added to your invoice. You may ask to move to a different plan or add modules at any time, and we will confirm the date from which the new fee applies. Integrations are priced per firm and quoted before you agree to them. We may change our prices by giving you at least 30 days' written notice. If a payment fails, we may suspend access after notice until it is paid.

You may cancel at any time by written notice to sales@firmhub.co.za. Cancellation takes effect at the end of the billing month in which you cancel. Refunds are covered by our Refund Policy.

You own the data you load into Firmhub, including your client information. You permit us to process it only to provide, secure and support the Service, as described in our Privacy Policy. You are responsible for having the right to load that information and for any notices and consents your own clients are owed under POPIA. For that information you are the responsible party and we are your operator. After cancellation we will make your data available for export for 30 days and will then delete it, unless the law requires us to keep it.

You may not: use the Service unlawfully or to infringe anyone's rights; attempt to access another practice's data or to break or bypass security; upload malicious code; copy, resell, sublicense or reverse engineer the Service; share user credentials outside your practice; or use the Service to build a competing product.

Firmhub, its software, design, content and trade marks belong to us or our licensors. While your subscription is active we grant you a non-exclusive, non-transferable right to use the Service for your practice's internal business. You keep all rights in your data.

We aim to keep the Service available and will give notice of planned maintenance where we can. We cannot guarantee that it will be uninterrupted or error free. Support is provided by our South African team on 013 747 2749 and sales@firmhub.co.za during Monday to Friday, 08h00 to 16h00.

To the extent the law allows: the Service is provided as is; we are not liable for indirect or consequential loss, loss of profit, or penalties, interest or fines arising from a missed deadline; and our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law, including under the Consumer Protection Act 68 of 2008 where it applies.

We may suspend or end your access if you materially breach these terms and do not fix the breach within 7 days of our written notice, or immediately if you use the Service unlawfully or put its security at risk. Sections that by their nature should survive termination continue to apply.

We may update these terms. We will post the updated version on this page with a new date and, for material changes, email you at least 30 days before they take effect. If you keep using the Service after that date, you accept the changes.

These terms and the documents they refer to are the entire agreement between us. If any part is unenforceable, the rest continues to apply. We may give you notice by email to the address on your account. These terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction in Mpumalanga.
