These terms govern your access to and use of Firmhub, the practice management platform operated by Red Hot Zone together with GRA & Mayo (collectively, “Firmhub”, “we”, “us”). By creating an account or using the platform you agree to these terms.
You are responsible for keeping your account credentials secure and for the activity that happens under your account. Firmhub lets everyone in your practice log in at no extra cost; you are responsible for deciding who in your practice receives access and for removing access when someone leaves.
Firmhub is provided to help you run an accounting practice. You agree not to use the platform to store or process anything unlawful, not to attempt to disrupt or reverse engineer the service, and not to misuse the data of other practices. Client data you enter belongs to your practice; you warrant that you have the right to store it with us.
Firmhub is priced per practice based on professional staff headcount, with unlimited clients and unlimited logins. Billing is month to month. When your headcount crosses into the next band we move you up at your next renewal and tell you before it happens. Fees are billed in advance and are not refundable for partial months.
We work to keep Firmhub available and accurate, but no service is uninterrupted or error free. We may update, change or remove features as the product evolves. Where a change materially affects how you work we will tell you before it happens.
Your data remains yours. We host it securely, do not share it with third parties, and process it in line with POPIA. See our Privacy Policy for the detail of how we handle your information.
Firmhub is a management tool. It does not file returns with SARS or CIPC and is not a substitute for your professional judgement or your tax and accounting software. To the extent permitted by law, our liability for any claim arising from your use of the platform is limited to the fees you have paid us in the preceding three months.
You can cancel at any time and we will stop billing at your next renewal. We will give you a reasonable window to export your data after cancellation. We may suspend or close an account that breaches these terms.
We may update these terms from time to time. Where a change is material we will notify you in the platform or by email. Continued use after a change takes effect means you accept the updated terms.
