This policy explains what Firmhub collects, why we collect it, and how we keep it safe. Firmhub is operated by Red Hot Zone together with GRA & Mayo. We process personal information in line with the Protection of Personal Information Act (POPIA).
Account information. The name, work email and practice details you give us when you book a demo or create an account, plus the number of professional staff you tell us about so we can price your plan.
Practice data. The clients, jobs, deadlines, documents and notes you and your team enter into Firmhub to run your practice. This is your data, not ours.
Usage data. Basic information about how you use the platform, such as which features you reach, so we can keep the product working and improve it.
We use your information to provide and support the platform, to bill you, to keep the service secure, and to improve Firmhub. We do not sell your data, and we do not share it with third parties for their own marketing.
We process personal information because we need it to deliver the service you have asked for, to meet our contractual obligations to you, and to comply with our legal obligations. Where you give us information about other people — for example your clients — you warrant that you have the right to do so.
Your data is hosted securely and is never shared. Access is restricted to the people who need it to run and support the platform. We keep your data for as long as your account is active and give you a reasonable window to export it after you leave.
Your data remains yours. You can export it, correct it, or ask us to delete it when you close your account, subject to any records we are legally required to keep. To exercise any of these rights, reply to your confirmation email or book a session and we will help.
When you book a demo we collect the details you enter on the booking form — name, work email, practice name, staff count and the main thing you are trying to fix — so we can run the session and follow up on it. We do not use those details for anything else without your permission.
We may update this policy from time to time. Where a change is material we will notify you in the platform or by email.
